Terms and Conditions – Get Out and Grow Community Grants 2024 

What can the grant be used for 

 

The purpose of the Get Out and Grow community grants are to facilitate horticulture and growing activities on a local level in Clydach and the surrounding Swansea region. We believe in the health and wellbeing benefits of spending time in nature and connecting with community over fresh food production and horticulture skill development.  

 

We are offering 10 small grants of £150 to enable your group /organisation to host a growing activity or event in your community. The money can be used for activity, equipment or material costs. Examples include seeds, compost, wood, gardening tools, basic cooking equipment, transport. We invite applications that bring people of different backgrounds and/or ages together, and support those working with disadvantaged or minority groups. 

 

The activity associated with this grant must reflect these objectives. If you would like to discuss an idea with us before submitting an application, please email clydachcommunitygarden@gmail.com  

 

Timeline 

 

Application window: 3rd – 24th May 2024 

Grant dissemination: 3rd – 10th June 2024 

Activity window: 14th June – 4th August 2024 

Reporting window: 1st July – 1st September 2024 

 

Assessment process 

 

Following the closing date, applications will be assessed by members of the Clydach Community Garden committee. The 10 successful applicants will be notified via email shortly after. 

 

Eligibility 

 

  1. Grant applicants must be able to deliver an activity or event between 14th June and 4th August 2024 

  2. Applicants must be a formalised not-for-profit group that has its own bank account 

  3. Grant activity must reflect the objectives laid out in this document 

  4. Grant applicants must agree to the terms and conditions outlined in this document including financial and reporting requirement 

 

Requirements for applying  

 

  1. We will decline any grant applications where there is no organisational or community group bank account to transfer the grant into.   

  2. We are only able to award one grant per organisation.  

  3. We won't consider any applications which involve promoting any corporate organisation, political activities or promoting any religious beliefs. We will consider projects led by religious organisations if they're for the good of the whole community.  

  4. We won’t consider projects that have already happened or will be finished before the grant payment can be made.

  5. Application activities must support our Get Out and Grow campaign objectives to be eligible. 

  

Spending of the grant funding

  1. The grant cannot be transferred to another third party. 

  2. The grant may be used only for the purposes outlined by your organisation in your grant application as approved by Clydach Community Garden. 

  3. We understand that activities sometimes change as they develop or may be cancelled. If you are unable to use the grant for the specific purpose for which it was intended, and significant changes are likely to be made please contact us before spending any portion of the grant.  

  4. Grants must be spent on or before 4th August 2024.  

  5. Financial safeguarding checks may be carried out. Therefore, please keep receipts of all spend associated with the grant. We request the right to receive your proof of purchase in the form of receipts. We will expect to see receipts within 14 working days from the date requested.  

  6. Your financial details are required when completing the application form. We ask for these during the application stage to speed up the dissemination process. These details will not be shared with the assessment panel and will be immediately and permanently deleted following the grant dissemination date of 10th June 2024. No financial information will be shared with third parties including funders.

Reporting, evaluation and press  

 

  1. Any press releases or media publicity of the grant funded activity must reference Clydach Community Garden as the funding organisation. 

  2. Successful applicants will receive logos and information relating to Clydach Community Garden and project funders Hubub. It is not necessary to use logos on activity materials but they will be made available for use at the discretion of the grant recipient. 

  3. Within a month of your activity, you will receive a short reporting questionnaire to inform us of delivery outcomes. This will be emailed to the contact on the application form. If the main contact changes, please inform us as soon as possible. 

  4. Please record any impact data as outlined in your application for the purpose of reporting. 

  5. We may contact you to ask you to take part in a case study or for further updates after the project is over.  

  

Other  

​

  1. We will require repayment of a grant if you become insolvent or go into administration, receivership or liquidation.  

  2. If your organisation does not meet the requirements set out in this document, then we reserve the right to reclaim some, or all, of the grant at any time.  

  3. The safety of everyone attending your Get Out and Grow activity is extremely important. Use your own organisation’s policies and procedures to ensure you think about the related risks, including the safeguarding of children or young people or adults at-risk attending your activity.   

  

Health and Safety Considerations  

 

  • If you have recently recruited new volunteers or utilising existing volunteers, please read and refer any volunteers to the Government’s ‘How to help safely’ guidance (Sections 1, 3 and 7 specifically). For more advice, visit the NVCO website.   

  • In any food related activity, you should follow the latest Food Standards Agency guidance.   

  • We ask that you don’t promote or give any medical advice.  

  • For advice on GDPR and data protection during your response, please see the section ‘Data Protection’ on the NVCO website to minimise risk.
